Refund Policy
Medical services can't be "returned," but we want billing to be fair and transparent. This policy explains when L&Q Wellness issues refunds or credits and how to dispute a charge.
Services already provided
Charges for clinical services already performed — exams, consultations, lab draws, injections, or infusions — are not refundable, because time, supplies, and medications were used. If you're dissatisfied with your care, please tell us; we take every concern seriously and will review it with you.
Overpayments and insurance adjustments
If you paid more at check-in than you owe after your insurance processes the claim, we refund the difference to your original payment method within 30 days of receiving the insurer's explanation of benefits, or apply it as a credit if you prefer.
Prepaid programs and packages
| Situation | Refund |
|---|---|
| Cancel before your first program visit | Full refund |
| Cancel after starting a prepaid weight-management or coaching package | Refund for unused visits or sessions, minus services already received at the standard self-pay rate |
| A clinician determines the program is not medically appropriate for you | Full refund of unused amounts |
| Medications dispensed or ordered on your behalf | Not refundable once dispensed, for safety reasons |
IV hydration
- If your pre-infusion screening shows IV therapy isn't safe for you, you are charged only for the screening visit, and any prepayment for the infusion is refunded.
- If an IV cannot be started or must be stopped early for clinical reasons, you are charged only for what was administered.
Cancellations and no-shows
- Cancel at least 24 hours in advance to avoid any fee.
- For self-pay elective services (IV therapy, coaching), late cancellations or no-shows may forfeit a booking deposit of up to 25% of the scheduled service.
- We don't charge no-show fees for insurance-covered medical visits, but repeated no-shows may limit future scheduling.
Billing errors
If we bill you in error, we correct the charge and refund any amount you paid in error within 10 business days of confirming the mistake.
Good-faith estimate disputes
If you are self-pay and your bill is at least $400 more than your good-faith estimate, you may be able to dispute it through the federal patient-provider dispute resolution process. Contact us first and we'll work to resolve it.
How refunds are paid
Approved refunds go back to the original payment method. Card refunds usually appear within 5–10 business days. HSA/FSA refunds are returned to the same card.
